Here is a common example of how a lodging business would set up their rates.  The sections below will show an example for each part of the Rates set up: Rate Categories, Rate Lists, and Rate Tester.

 

To access the rate set up go to Setup - Rates - [select Rate List to edit].

 

Rate Categories

 

The typical rate set up for most businesses in the lodging industry (bed & breakfast, inns, vacation rentals, campgrounds, cabins) is to have weekday, weekend, and weekly rates.  Sometimes there are special holiday rates and requirements (i.e. 3 night minimum stay).  The system handles these various rates by creating Rate Categories when the account is first set up.  Rate categories can be easily modified based on your specific business structure. See the Rate Categories section of the help file to learn how to edit or add a rate category.      

 

Rate List

 

In the Rate List, you will see your rooms listed in the Product column and the Rate is column is set to Per Person (Variable).  Using Per Person (Variable), allows you to enter you rate for a standard double occupancy rate and the additional fee charged for extra person.  See the Rate Calculations section for proper configurations and more information.

 

See example below.  The double occupancy rate for the Double Room is $120 - notice the same rate is entered in both column 1 and 2.  The extra fee is $20 per person up to 6 people.  The standard rate of $120 increase $20 in each column.

Rate Tester

 

Finally, use the Rate Tester to make sure the rates are calculating as you expect.  In the example below, a room was booked from Monday to Friday for 3 Persons.  Notice how the rate calculated the rate for 3 Persons at $140 per weekday.  The rate comes from the number entered into Column 3 above.  This includes the $20 extra person fee for the 3rd person.
